How to change case of text in a Word document with one click of a button

It’s annoying when a Word document is composed in all capital letters. The text appears to be yelling rather than speaking, and the last thing you want to do is rewrite the entire thing in lowercase letters. Grrrreeaaat, now what?

Worry not. Word has an option to change case of text. It’s just slightly hidden, so most people don’t even know that it’s there. Here’s how to find the “Change Case” option and create a shortcut button for future use:

Finding the “Change Case” option in Word
  1. Open your Word document
  2. Go to: Tools > Customize

  3. A small window will pop up. Select the “Commands” tab
  4. On the left (under Categories) select “Format”
  5. On the right (under Commands) select “Change Case”
    (note: there are 2 versions of “Change Case”. Select the one with the “A” icon.)

  6. Don’t close the window yet…
  7. Drag the “Change Case” option you just selected, and drop it anywhere on the main toolbar.
    You can pick any spot that’s convenient for you – I put it next to the bold button, so it will be easy to find next time I need to change case in my documents.

  8. Select the text you want to format and click the “Change Case” icon you just dropped into your toolbar.

  9. A window with the case options will pop up. Choose “lowercase” or another one of the available options in the popup window, and hit “OK”.
  10. That’s it – you’re done! No need to repeat this process next time….the “Change Case” button will remain in the main toolbar for your convenience.
